Our outsourcing process is a dynamic process however here are some general guidelines of our implementation process.

Business Associate Agreement & Service Level Agreement

This is the most crucial step towards the success of this business process outsourcing partnership. They instill mutual confidence and help to assure good results.

The Business Associate Agreement is mutually signed and is intended to fulfill the requirements contained in the final regulations issued by the Department of health and Human Sciences ("HHS") in the implementation of the Health Insurance Portability and Accountability Act ("HIPAA") that each health care provider is covered by the act obtain a written contract with other entities that utilize the Protected Health Information("PHI") obtained from the health care provider (called the "Business Associates" in the HHS privacy regulations).

The Service Level Agreement ("SLA") is an important tool to assure contractually guaranteed customer results. The SLA defines the outsourcing service quality standards and is important in determining the value and the success of the outsourcing relationship. The SLA is developed in collaboration with our customers and is crucial in building mutually successful business process outsourcing (BPO) partnership. The SLA is an integral component of the contract negotiations and details the scope of the outsourcing services and contains detailed metrics, common measurements which include availability, capability, reliability, efficiency and responsiveness criterion.

We also do not hesitate to sign a Non-Compete & Non-Solicitation Agreements with our customers to instill confidence and good faith.

Account Executive Assigned – Key point of contact

An experienced knowledgeable executive is assigned to you who guides you through the transition process. He serves as the liaison between you and the team assigned to you. Once the services are established and active, the account executive will call you on a regularly scheduled time to stay current with your needs and requirements and will also always be available to you by telephone and email during regular business hours.

Secure Remote Access, File Transfer Systems, VPN Tunnels

We will work with your It support team to set up and configure your office computers and network for secure remote access for your billing information. We will also establish or configure a file-transfer system so that you can electronically transfer files or any scanned source documents. For an enhanced connectivity we may suggest a virtual secure private network tunnel to gain fast & quick access your office network or computers.

In view of the sensitivity associated with the Healthcare Information all our team's works on fully locked down dumb terminal PC's.

The PC's used do not have any CD drives,Floppy Drives or USB ports. No email sites are allowed on the agent machines and hence there is no movement of the data across the globe.Also, the teams have restricted remote access to the client's software applications and tools enabling them to do the work required to accomplish the required services only in a secure manner.

Preliminary Training & Development

As we work on your software or system we always request some documentation on your present process and other training manuals for our teams to understand your practice specifics. In order to instill mutual confidence and help to assure good results we suggest some online demo's and schedule online meetings between your account executive and our team. And if required also have some brief training sessions for our teams to seamlessly map your present process to have a smooth transition process.

During the above we would also request some demo accounts for our internal training and development.

MIS Reporting Requirements

We offer a variety of MIS reports & progress related reports based on your needs however we can customize reports as per your requirements.

Roles and Responsibilities

The roles and responsibilities have to be defined by you beforehand. The intention in doing so is that we work as an extension of your office and no duplication of any efforts is done. All the redundant work is dropped and a fairly simple paperless process is created to streamline the operation.
